Behind most churches is someone keeping the records going: a treasurer with a box of Gift Aid envelopes, or a volunteer updating a spreadsheet after the evening service. We built Church Member Software for them.

Six things we won’t compromise on
If it’s hard to read, it’s wrong
Many of the people who run church records are retired volunteers. So the text is large, the buttons are clear, nothing important hides in tabs, and every screen uses plain English.
Made for UK churches, not adapted for them
Gift Aid on HMRC’s own spreadsheet, the Small Donations Scheme, UK GDPR deadlines and DBS records are part of the software from the start. Church records are stored in the UK.
Church records need extra care
Being on a church’s records says something about a person’s faith, which the law treats as sensitive. Each role sees only what it needs, staff use two-step sign-in, and pastoral notes stay with the people you choose.
One fair price, with nothing held back
Every plan has every feature. Prices include VAT, children don’t count towards your plan, and there’s no contract. A small parish shouldn’t pay extra for Gift Aid.
Your records belong to your church
Download everything at any time, as spreadsheets you can open anywhere, including after you’ve left. If you go, we delete your data 60 days later and email you to confirm.
Straight answers about what it can’t do
Our feature pages say plainly what the software doesn’t do yet, such as sending Gift Aid claims straight to HMRC. You should know before you start, not after.
Simple on purpose
Doing the weekly jobs well
Most church software tries to do everything. We’d rather do the weekly jobs well. A new volunteer should be able to pick them up on their first Sunday.
So you won’t find a hundred settings. You’ll find a Sunday collection that takes minutes and a Gift Aid claim laid out the way HMRC asks. If you turn it on, a list of regulars you haven’t seen for a while is waiting in your inbox on Monday morning.
Things we’ll never do
- Show advertising to you or your members inside the software
- Put advertising or tracking inside the app or your member area
- Sell your church’s records, or use them for anything except running your account
- Charge extra for Gift Aid, email or the member area
- Tie you into a contract
- Make it hard to take your data with you
Who’s behind it
Church Member Software is a small, independent UK business run by Rob Truslove. There are no investors, so the only people we answer to are the churches that use it.
That keeps the priorities simple: software that’s easy for volunteers, careful with people’s data and priced so the smallest parish can afford it.
