Questions About Church Member Software

Straight answers before you start, about prices, moving across, Gift Aid and your data.

Pricing and the free trial

How much does it cost?
£12 a month for up to 75 active adults, £22 for up to 200 and £35 for up to 500. Prices include VAT, and every plan has every feature. See prices
Who counts as an active adult?
Anyone aged 18 or over on your records who isn’t archived. Children, visitors you’ve archived and people who’ve left don’t count. We never archive people to keep you on a smaller plan.
How does the free trial work?
You get 30 days with everything included, and you don’t need a card to start. Nothing is charged unless you choose a plan. Starting your free trial
What happens when the trial ends?
Choose a plan to carry on. If you don’t, the account becomes read-only: you can still see and download everything, and nothing is deleted for 60 days.
What if we grow?
Your plan follows the number of active adults on your billing date. We’ll email you 10 days before your next bill if you’re moving to the next size up.
Do the prices include VAT?
Yes. Every price includes VAT at 20%, so what you see is what leaves your bank. Each monthly invoice shows the VAT, and if your church is VAT-registered you can add your VAT number when you subscribe.
How do we pay?
Monthly by card, through Stripe, a secure payment company. You can change the card, see every invoice or cancel from the billing page in your settings.
What if a payment fails?
Everything keeps working for 14 days while you sort it out, and we’ll email you. After that the account becomes read-only until the payment is made.
Is there a contract?
No. You pay monthly and can cancel at any time. The subscription runs to the end of the month you’ve paid for.
Are there any extra charges?
No. Gift Aid, email, the member area, imports and every team login are included in the price. There’s nothing extra to buy.

Getting started and moving across

Can we bring our records from another system?
Yes. There are step-by-step instructions for ChurchSuite, Elvanto, Breeze, ChMeetings and Planning Center, and you can import any spreadsheet saved as a CSV file. Giving history, Gift Aid declarations, groups and attendance can come across too. Moving your people across
What if an import goes wrong?
You see every change before anything is saved, and you can undo a whole import for 7 days. Nothing in your old system is changed.
How long does it take to set up?
Most churches can be up and running in an afternoon: add your church’s details, invite your team and import your people. A checklist on your dashboard shows what’s left. Setting up your church in an afternoon
Can several people use it?
Yes, and each person gets their own login at no extra cost. Give them a role, such as treasurer or group leader, and they only see what they need. Who can see what
Is it for our kind of church?
It’s built for UK churches of any denomination or size. It doesn’t assume a particular way of organising things: you choose your own membership statuses, groups, tags and rotas.

Using it

Is it easy for older volunteers?
We designed it with them in mind. The text is large, the buttons are clear, links are underlined, and nothing important is hidden. There are step-by-step guides with screenshots for everything. Our accessibility statement
Does it work on a phone or tablet?
Yes. It works in the web browser on a computer, tablet or phone, so there’s nothing to install. The member area is designed for phones first.
What help is there?
Our help centre has step-by-step guides with screenshots for every part of the app, and our guides cover the bigger jobs, such as claiming Gift Aid and looking after data. Visit the help centre
Do our members need to sign up or remember a password?
No. Members sign in to your church’s member area with the email address on their record, and we email them a link each time. Using the member area is up to your church. The member area

Gift Aid

Is Gift Aid included?
Yes, in every plan. That includes declarations, claims laid out on HMRC’s own spreadsheet and the Small Donations Scheme top-up. Gift Aid in Church Member Software
Does it send our claim to HMRC?
Not directly. You download HMRC’s claim spreadsheet with every line filled in and upload it to Charities Online. The claim page walks you through each step.
Does it work if our church is a CIO or a company?
Yes. Add your legal form and financial year end in your settings, and Gift Aid deadlines and record keeping follow the rules for your kind of charity.

Your data and safety

Where is our data kept?
Your church’s records are stored in the UK, in London. Emails are sent through Amazon in the EU. How we look after your data
Who can see our records?
Only the people your church invites, and each one only sees what their role allows. Counters never see anyone’s giving history, and you decide who reads pastoral notes. Staff with access to sensitive records must use two-step sign-in.
Will using it make us GDPR compliant?
It gives you the tools and reminders: requests tracked against their deadlines, data downloads, erasure, a breach log and retention reviews. Being compliant also depends on how your church works, and our free guide explains what churches need to do. GDPR for churches, in plain English
Do you use our data for anything else?
No. Your church’s records are only used to run your account. We never sell them and there’s no advertising or tracking inside the app or your member area. What we believe

Leaving

Can we take our data with us?
Yes, at any time, including after you’ve cancelled. You get everything as spreadsheets in one ZIP file, which you can open anywhere or bring into another system.
What happens to our data if we leave?
The account becomes read-only, so you can still see and download everything. 60 days after it ends, we delete your data and email you to confirm. We remind you before that happens. Billing, downloading everything, and leaving
