Know straight away whether a gift can be claimed

Each gift is checked against the giver’s declaration as soon as it’s recorded. If it can’t be claimed, you’ll see why, such as a missing declaration or a spoken one that hasn’t been confirmed in writing yet.

Gifts getting close to HMRC’s 4-year limit are flagged while there’s still time to claim them.

If tax was claimed that turns out not to be due, record it once and it comes off your next claim.

Totals for Gift Aid, a list of claims, and a box headed “Gifts that can’t be claimed” giving each reason, such as no declaration covering the gift. Beside it, a form to record over-claimed tax.

Questions churches ask

Does Gift Aid cost extra?
No. Gift Aid is included in every plan, from £12 a month including VAT.
Does it send the claim to HMRC for us?
Not directly. You download HMRC’s own claim spreadsheet, already filled in, and upload it to your claim in Charities Online. The claim page walks you through each step.
Which declarations can we use?
Written declarations, declarations members make online in their member area, and spoken declarations once you’ve sent the written confirmation HMRC asks for. The app prints that confirmation for you.
What is the Small Donations Scheme?
It’s a top-up on loose cash and contactless gifts of £30 or less, with no declaration needed. You can claim on up to £8,000 of these gifts a year, and no more than 10 times the Gift Aid gifts you claim on.
How far back can we claim?
If your church is a charitable trust, as many are, you can claim up to 4 years after the end of the tax year the gift was made in. Churches set up as companies or CIOs count from the end of their accounting period instead.
Do we need anything from HMRC first?
Yes. Your church needs to be recognised by HMRC as a charity for tax purposes, and you’ll need a Charities Online account to send claims.
