GDPR Software for Churches, With Safeguarding Records Built In

Church records count as sensitive data under UK GDPR. Requests are tracked against their legal deadlines, breaches are logged, and DBS records are kept safely.

  • Legal deadlines tracked
  • Data downloads in one click
  • Safeguarding records locked down

Never miss a data request deadline

Log a request the day it arrives, however it’s worded. The deadline is worked out for you, the dashboard reminds you, and you can pause the clock while you wait for the person to reply.

Complaints about how you use data are tracked against their 30-day deadline too.

A subject access request from Caleb Begum, due in 1 day, with the date it arrived and what he asked for, and buttons to mark it done, pause the clock or extend it.

Download or erase someone’s data in one click

Download everything you hold about a person, ready to check and send. If they ask to be erased, you’ll see what will go and what the law says you must keep, and why.

Giving and Gift Aid records stay for the 6 years HMRC needs, then go automatically.

Checks that keep you within the rules

The app points out records that need a look, such as one-off visitors you hold more than basic details about. Set how long you keep people who’ve left, and ask members to check their details are right.

The Checks tab, listing one-off visitors with what’s held about them beyond basic details and whether their agreement has been recorded.

A breach log with the 72-hour clock

Record every breach, even small ones you don’t report. If it puts people at risk, a countdown shows how long you have left to tell the ICO, with a link to their reporting page.

A breach record with a red box saying “Report to the ICO now: the 72 hours have passed”, the ICO deadline and when the breach was found.

DBS records only the right people can see

Record DBS checks with only the details GOV.UK says you can keep, and see renewals coming up. Only administrators and named safeguarding leads can open them, and every visit is logged.

Questions churches ask

Does using this make our church GDPR compliant?
It gives you the tools and reminders, but compliance also depends on how your church works. Our free guide explains what churches need to do.
How long do we have to answer a request?
Usually one calendar month. The app works out the date for you, and lets you extend by two months for complex requests.
Can we keep copies of DBS certificates?
No, and the app doesn’t ask you to. GOV.UK guidance says to keep only a few details once you’ve made your decision.
Where is our data stored?
Church records are stored in the UK, in London. Emails are sent through Amazon in the EU.
