How Gift Aid works on sponsorship
Each sponsor makes their own Gift Aid declaration by filling in their details and ticking the box. Your church can then claim 25p for every £1 they gave, as long as they pay enough UK tax.
The person being sponsored can’t Gift Aid the money they collect. HMRC is clear that it isn’t theirs to give. They can Gift Aid a gift of their own, though, like any other sponsor.
What HMRC expects on the form
HMRC recommends putting the declaration at the top of each sheet, with a row for each sponsor showing:
- their full name
- their home address and postcode
- how much they gave, and when
- a tick to say they want Gift Aid to apply
The form should also show the date the money was handed to the charity. This template follows HMRC’s own model form.
How to use it
- Add your event and charity’s name above. Leave the participant blank if several people are taking part.
- Print a form for each person taking part, with spare copies for when one fills up.
- After the event, collect the money and the forms together.
- Check each Gift Aid row has a full name, home address, postcode and tick.
- Fill in the totals and the date the money was handed over, and keep the forms with your Gift Aid records.
Mistakes that cost Gift Aid
- A missing address or postcode. Every sponsor who ticks Gift Aid needs to give their home address and postcode.
- A work address. Gift Aid needs a home address.
- One line for a couple. Each person needs their own row.
- Claiming on a sponsor who didn’t tick the box.
Keep the forms for as long as HMRC needs your Gift Aid records. Our data retention policy has the details.
Questions churches ask
- Can the person being sponsored claim Gift Aid on the money they raise?
- No. HMRC says sponsorship money doesn’t belong to the person sponsored, so it isn’t theirs to Gift Aid. Each sponsor makes their own declaration on the form.
- Do sponsors need to give their address?
- Only if they want Gift Aid. Then they need their home address and postcode, not a work address.
- Can we use this form for any charity?
- Yes. Write the charity’s name in the box at the top. The charity must be recognised by HMRC for Gift Aid.
- Can the participant pay the money in from their own bank account?
- Yes. HMRC accepts this, as long as the amount matches the total on the sponsorship forms.

Turn the forms into a Gift Aid claim
Church Member Software keeps your givers’ declarations and builds each claim on HMRC’s own spreadsheet. The Small Donations Scheme top-up is worked out for you too.
