If someone else claims your Gift Aid
For the Parish Giving Scheme, the Methodist Gift Aid Bureau, Catholic dioceses and Elim.
Who can do this: Administrators and treasurers
Some churches don’t claim Gift Aid from HMRC themselves, because another organisation claims it for them. Keep recording gifts and declarations here anyway. Your totals and giving statements stay right, and you can send the claimer a list of every gift.
Step 1: Gifts through the Parish Giving Scheme
Go to Giving, then Funds, and add a fund called “Parish Giving Scheme” with Gift Aid turned off. Record the scheme’s payments to that fund.
They count in your totals but never go into your own claims, because the scheme claims the Gift Aid itself. They don’t count towards your Small Donations Scheme top-up either, which matches HMRC’s rules.
Step 2: When your diocese, bureau or national office claims
Leave the HMRC charities reference empty in Settings → Church details. Collect declarations and record gifts as normal. When it’s time to send them, go to Gift Aid and choose New claim. It works out which gifts can be claimed, just as it would for HMRC.
Step 3: Send them the list of every gift
Check the claim and lock it. Then download the list of every gift. Each gift has its own row, with the giver’s name and address, the fund and the date of their declaration. Send it the way they ask, then record that you’ve sent it, so no gift is sent twice.
What happens next
The Methodist Gift Aid Bureau takes claims through the Methodist Online Suite or its own forms, so copy the figures across from the list. Elim gives each giver a declaration reference. Keep it in a custom field on their record, and add it to the list before you send it.
If whoever claims for you needs the list in a different layout, tell us and we’ll look at adding it.
